Hejco is part of Hejmar AB. HejMar AB is the data controller for the personal data you provide when you make a purchase from or engage in other contact with us. HejMar AB is responsible for processing your data in accordance with current legislation.

Where is your personal data stored? 

We endeavour to process your personal data in the European Economic Area (EEA) and within our own IT systems as much as possible, although sometimes your data may need to be transferred and processed in a country outside the EEA (known as a “third country”). Such transfers are made only to recipient countries with an adequate level of protection and in accordance with current legislation. If your data is transferred to service partners in the US, this must be only to companies covered by the Privacy Shield, which is an agreement on the protection of personal data between the EU and the US.


Who has access to your data? 

Your data is primarily used to enable Hejco to fulfil its commitments to you and to improve your experience with us. 

In order for us to offer the services stated below and fulfil our commitments to you as a customer, we share your personal data with companies known as data processors.  This is done only for the purposes for which we have collected the data, and only with companies that can provide adequate guarantees in terms of the security and privacy of the personal data.

We provide data and content to suppliers and service providers that support our business, such as by providing technical infrastructure services (e.g. e-commerce platforms, IT systems, and CRM and marketing systems), analysing how our products are used, delivering and distributing the products you have purchased, taking care of payments, or carrying out surveys. We never have and never will sell your data to third parties.

If the ownership of Hejco changes, we will transfer your data to the new owner.

 

How long do we store data?

We store data until it is no longer necessary for providing you with a good customer experience or to fulfil our commitments in accordance with agreements. The data we receive about you (including data on financial transactions in connection with purchases) is stored for the period that current legislation requires.

You are entitled, at any time, to request information about your personal data that we hold. Contact Hejco using the details below and we’ll get back to you with information about your data that we hold.


Right to rectification: 
 You have the right to request the rectification of any incorrect personal data and to complete any incomplete personal data.  

Right to erasure (“the right to be forgotten”):
You may have the right to request that Hejco erase your personal data that we process. This may be relevant if:

  • the data is no longer needed for the purposes for which it was collected;
  • you have revoked the consent upon which the processing of your data is based;
  • processing is for direct marketing and you no longer wish to receive marketing from us;
  • following a balance of interests, there is no legitimate reason that weighs heavier than your interests; or
  • erasure is required to fulfil a legal obligation.


The right to refuse direct marketing:
You have the right to refuse direct marketing, including profiling analyses for direct marketing purposes.

You can opt out of direct marketing by:

  • following the instructions in all our marketing messages; or 
  • informing Hejco’s customer service team that you no longer wish to receive direct marketing.


The right to limit processing:
You have the right to ask Hejco to limit the processing of your personal data in the following situations:

  • In some cases you may have the right to request that the processing of your personal data be limited. “Limiting” means that the data is marked so that it is processed only for specific limited purposes in the future.
  • The right to limitation applies when, for instance, the data subject believes the data is incorrect and requests its rectification.
  • If you believe that your personal data is incorrect, HejMar AB (“Hejco”) will cease processing this data while the correctness of the data is investigated.

Purchases

How do we use your personal data?

  • We use your data that we hold to develop our products and services and improve your experience as a customer. To create products that are unique and relevant to you, we use data, interests, and responses based on the data we collect and that you choose to provide when answering questions in a form, for example.

  • We process data in purchase pattern analyses by looking at how you interact with our website, e.g. the products you are interested in, etc. This is essential to our ongoing development of the user experience and making your visit to the webshop and our communications as good and relevant as possible.

  • We use your personal data to manage and fulfil your purchases and deliveries; offer you various payment solutions; provide delivery notifications by SMS, e-mail, or post; manage any returns; and manage your user account on our online platforms in order to give you a personalised experience.

  • We can also make your experience smoother, such as by automatically completing your registration data (such as your profession) if you have already entered this in another context and this has been saved in our CRM tool.

  • We can use your data that we hold to develop, test, and improve our webshop, such as by conducting surveys and improving the customer experience and testing new features.

  • We use your data that we hold to send marketing communications and offers, to announce the winners of competitions, to communicate with you regarding our products and news, and to notify you of our policies and terms.

  • In our communications and when you contact us, we also use the data you provide to answer any questions you may have regarding your deliveries or orders.

We save your data for as long as is needed for us to fulfil the above purposes or for as long as we are required to do so by law. Your personal data is then deleted.

 

What type of personal data do we process?

We collect the personal data you send us when you make a purchase from Hejco using our webshop or via other channels, when you download a catalogue, when you fill in a form, or when you participate in a competition. Examples of the data we collect in connection with a purchase and/or an interest in any of Hejco’s products are contact information such as your name, customer number, address, e-mail address, personal identity number, phone number, order information, payment information and payment history, completed purchases, purchase history, usage behaviour on our digital platforms, and responses to marketing.

We may also collect certain personal data from external partners, including address information from public registers and credit rating information from credit reference agencies, banks, or credit reporting agencies.

How do we use your personal data for marketing purposes? 

We use your personal data to send you personalised offers for what you’re interested in, relevant marketing, important information, customer surveys, and invitations by e-mail, SMS, phone, and post.

To optimise your experience, we provide you with relevant information, product recommendations, and reminders that you have products still in your shopping basket. All these services are based on your past purchases, clicks, and the data you provide us with.

Data is provided to third parties solely for the provision of services relating to our marketing and communications, i.e. media agencies and technology providers such as for the distribution of physical and digital marketing.

  • in accordance with your consent, which you can revoke by contacting Hejco’s customer service team;
  • to the extent necessary to enable us to fulfil our legal obligations;

You have the right to refuse direct marketing and revoke your consent.

You can opt out of direct marketing by:

  • following the instructions in all our marketing messages; or 
  • informing Hejco’s customer service team at support.eu@hejco.com that you no longer wish to receive direct marketing.

 

We will retain your data for direct marketing until you tell us that you no longer want to receive direct marketing from Hejco.  We regularly remove inactive e-mail addresses from our database.

 

Customer service and administration

Why do we use your personal data for customer service purposes? 

We use your personal data to process your enquiries; place orders; manage product-related matters; manage support matters via e-mail, chat, phone, and social media; and process returns, complaints, or other customer-related enquiries. We may also need to contact you if there is a problem with your order.

 

What types of personal data do we process for customer service purposes?

We process all the data you provide, including:

  • contact details such as name, address, e-mail address, and phone number; 
  • payment details and history;
  • creditworthiness; 
  • ordering information; 
  • order history; 
  • sizes and measurements;

How do we use your personal data for competition purposes? 


We will process your data when you participate in our competitions. Your personal data will be used to enable Hejco to contact participants before, during, and after the competition, to contact the winners, and to award the prizes.

  • Contact details such as your name, address, e-mail address, and phone number
  • Data provided in the competition


Who can use your personal data in connection with competitions?

Data is provided to third parties solely for the provision of the aforementioned services, e.g. transport companies to deliver prizes and potential partners in the competition.


What is the legal basis for the processing of your personal data in connection with competitions? 

When you take part in a competition organised by Hejco, our processing of your personal data is based on your consent in connection with your participation in the competition.
You have the right to revoke your consent at any time in connection with your participation in a competition.


How long will we keep your data? 


We retain your data in our marketing database until you revoke your consent.

 

Development and improvement

How do we use your personal data for development purposes?

We use your data to evaluate, develop, and improve all our services, products, and systems for our customers. As a result, we do not analyse your data at a personal level. Instead, all data processing uses anonymised personal data.

This includes analyses that enable us to make our services more user-friendly. For example, we may adapt the user interface to simplify the flow of information. We may also identify the digital channels at a general level that are the most used by our customers and thus improve our systems.

The analyses are also used to predict purchase volumes and to plan stock levels, deliveries, and capacity. In addition, we use your data to develop and improve our range on an ongoing basis.

Who uses your personal data for development purposes? 

We use website analytics companies to analyse our customers’ online behaviour at a general level. Such services include Google Analytics, Google Tag Manager, Google Ads, Hotjar, Facebook tracking pixel, MailChimp (e-mail marketing), and OptinMonster (for pop-up windows in the webshop). By using these services we can improve your shopping experience and tailor our communications to you.


What is the legal basis for the processing of your personal data for development purposes? 

The processing of your personal data to develop and improve our services is based on our legitimate interest.


How long will we keep your data? 

We will retain your data until you ask us to delete it.

 

Cookies

A cookie is a small text file stored on your computer or mobile device which is retrieved during subsequent visits. By using our services, you also consent to the use of cookies. 

 

How do we use cookies? 

Hejco’s webshop uses cookies to manage the content of your shopping basket, for example. If you block cookies, you are unable to use our webshop as your basket will “forget” its content each time you load a new page. If you don’t want cookies to be saved but still want to shop with us, you can do this by opening an incognito window in your browser to make your purchase. Doing this deletes all cookies automatically when you close your browser. We also use cookies as a statistical basis, such as to identify which items the same visitors look at in order to provide automatic product recommendations.

In addition to cookies used for shopping baskets, session cookies are also used to remember your login to mina sidor (my pages) as well as for settings such as language, country, and whether you are a business or private customer. That way you won’t have to worry about making the same choices each time you visit Hejco on the web. Pop-ups on the site may also use cookies to ensure that you are shown the pop-up only once.

We use Google Analytics, Google Tag Manager, and Google Ads, which also place cookies for the purpose of providing a picture of how our visitors use our website. These types of cookies do not contain identifiable data.

Social media links such as “like” buttons on Facebook and LinkedIn read whether there are cookies that were placed on previous visits to these pages. The analytics service Hotjar places cookies to enable us to study the use of our website in order to optimise and improve the customer experience. The webshop also has a chat feature that saves cookies for analytics purposes and in order to provide you with personalised service. When you fill in a form or similar on one of Hejco’s websites or on social media, a cookie is placed on your device to provide you with a unique and personalised experience and to facilitate future communication. We also use third-party tracking cookies to show you relevant ads on Hejco’s products on other websites and in other channels.

 

What types of personal data do we process? 

We combine your cookie code with the personal data we have collected about you only when such data has been collected in our systems, such as when you have subscribed to our newsletter or downloaded a catalogue.

Data is provided to third parties solely for the provision of the above services. We use an analytical tool to collect statistics in order to optimise our website and provide you with the right marketing material.


What is the legal basis for the processing of your personal data? 

We only combine your cookie with your personal data.

If you are logged into your account or subscribe to our newsletters, the legal basis for the processing of personal data is based on our legitimate interest. 


How long will we keep your data? 


Hejco does not store your personal data in your cookies. You can easily remove cookies from your computer or mobile device via your browser. You can find instructions on how to use and remove cookies from your browser under “Help”. You can turn off cookies or ask to be informed each time a new cookie is sent to your computer or mobile device. 

Note: If you turn off cookies, you will be unable to take advantage of all features. For example, the addition of a product to a shopping basket in our webshop is technically dependent on the functionality of cookies.

 

Data collection services


What services are used to collect data? 


Hejco uses a number of third-party data collection services to facilitate operations, communication, and marketing to ensure that our communications and content can be tailored to you. Below is a list of services that we use or that are connected to the hejco.se webshop. You can also read more about what data the services collect and store.

 

Google Ads

Google Ads is Google’s search marketing tool that we use to improve our web ads. When, for example, you search for Hejco on Google, you will see our ad which will take you to Hejco’s webshop when you click on it. In this example, your browser will install cookie information that follows your browser until you delete your browser’s cookie history. The data that this cookie uses will also be linked to the Google Analytics service that we use to track the results of various marketing initiatives. If you buy a product through this type of keyword search, Google Analytics will track this. 

 

Google Analytics

Google Analytics measures and analyses activity on our websites hejco.se and shop.hejco.com, including purchases, pages visited, and behaviour. Google Analytics uses a cookie to track user activity. We use Google Analytics to improve the customer experience and measure the results of our marketing initiatives. These include search marketing campaigns, e-mail campaigns, and campaigns created for external web services such as Google Ads. 

 

Facebook / Instagram / Youtube / Linkedin

We use social media to create relationships with existing customers and potential new customers. These initiatives include campaigns targeted at a specific group that we believe may be interested in what we have to offer. Each service uses its own tracking pixel installed in the source code of our webshop. The tracking pixel can be described as a small program that follows the user, such as from Facebook via a certain campaign to the people who then visit our website. This type of tracking helps us to better understand our customers and provide relevant content in each channel. 

A similar tracking pixel is used to track the financial profitability of these social media marketing initiatives. In other words, this type of tracking pixel allows us to see how many customers have bought something and how many catalogues have been downloaded as a result of a current campaign. 

 

Mailchimp

Mailchimp is a marketing tool and e-mail program that we use to send our newsletters, customer messages, and other customer-related e-mails/marketing and communication. Mailchimp stores a cookie in your browser for the clicks you make in the e-mails we send that are tracked.  

In general, all the links in the e-mails we send contain such tracking. The data stored depends on the campaign but can include first name, surname, profession, phone number, e-mail address, the next time you’re planning to buy work clothes, the number of employees, and what’s important when choosing work clothes.

 

CRM

Creatio is a CRM system where we store data about our existing and potential customers, e.g. company name and contact details, as well as purchasing information. This information is used by our sales organisation, customer service team, and marketing department.

 

For an enhanced user experience

We’re constantly learning more about our customers thanks to the analytical tools mentioned above. Our objective is to always be relevant, so we want to provide you with what interests you on the basis of your business, profession, and behaviour. Using this information, we can customise your online shopping visits to provide the user experience you expect. A simple example is the use of this information to adapt the content of the website so that it is tailored to your industry; for instance, if you work in the care sector, you will see only relevant clothing in the webshop instead of having to browse clothing for several irrelevant sectors.
